AI project management,
from one sentence to a running plan

Most AI project management tools summarise work you have already entered. Cloudairy writes it: the phases, the tasks, the owners, the labels and a dated sequence — from a single line of description.

A real generation from that prompt: 14 tasks across five phases, every one dated, owned, prioritised and labelled. Shortened here to two cards per column.

What arrives with the board

Every field you would have typed yourself

The output is a working project record, not a bulleted list you still have to turn into work.

01

Phases named for your project

Not To Do / Doing / Done. A campaign gets Positioning, Creative Development, Pre Launch Setup and Campaign Execution, because that is how a campaign actually runs. Rename any of them in a click.

02

Dates that form a sequence

Research lands before messaging; messaging lands before creative. Every task gets a start and a due date that respects the order of the work, so the timeline is readable the moment it appears.

03

Owners and priority from context

Tasks arrive assigned and ranked High or Medium, so the board is workable straight away rather than a pile you still have to triage.

04

Discipline labels, applied automatically

Strategy, Research, Design, Content, Production, Technical, Engineering, Paid Media, Email, Analytics. Filter to your own lane on day one without building a taxonomy first.

05

Referenceable task IDs

Every task gets an ID like LAU-5 the moment it is created, so it can be quoted in a standup, a commit message or a spec without anyone hunting for a link.

06

A status field, separate from the phase

Phase says where the work sits in the plan; status says whether it is moving. Group the same board by either — or by assignee or label — without changing a setting.

Then, one click per task

The AI writes the brief as well as the ticket

Open any task and Generate with AI sits next to each section. This is where most AI project management software stops at a title.

A structured task document

Overview, Key Activities, Acceptance Criteria and Deliverables — written for that specific task, in the editor, ready to edit. Not a one-line description.

Smart Checklist

Turns a task into the six or seven concrete steps it actually takes, with a progress count on the card. Paste a list to add several at once, or let the AI draft it.

Acceptance criteria on demand

Generate the "done" definition separately, so a task that started vague becomes reviewable without a meeting about what reviewable means.

These are per-task actions rather than part of the initial board generation — a freshly generated task shows the Generate button, and the section fills in when you use it.

Then read it your way

Eight views of the same plan

The plan is written once. How you read it is a tab, not a migration or a second tool — and grouping by status, priority, assignee or label works on every one of them.

Under the AI

A real project tool, not an AI demo

Generation is the fast part. What matters at week six is whether the record holds up — so every task carries the fields a working team actually needs.

Task fields

  • Status, priority, start and due dates, assignees and reporter
  • Completion percentage and reminders
  • Story points and component, for teams running agile
  • Billing type, for work you invoice
  • Labels, task type and your own custom properties

Time tracking, built in

  • A start/stop timer on every task
  • Work hours and a Log Hours tab
  • Duration calculated automatically from the dates
  • Pairs with billing type for billable work

Structure and history

  • Subtasks, dependencies and linked tasks
  • Attached documents and issues
  • Status timeline and a full activity stream
  • Rich comments with attachments and voice dictation

Finding things

  • Filters with nested condition groups, not just one dropdown
  • Group by status, priority, assignee or labels on any view
  • Search, export and archive from the board toolbar
  • A project-scoped AI chat that remembers the original brief

One subscription

The project board is one tab of four

Cloudairy is a whiteboard, a document editor, a project tool and a screen recorder in one workspace — so the sketch, the spec and the roadmap are the same file rather than three products you reconcile every Monday.

Canvas

Whiteboard, diagrams and 50,000+ cloud architecture icons.

Docs

Specs and briefs that attach to the tasks they describe.

Questions

AI project management, answered

What is an AI project management tool?

An AI project management tool uses a language model to do work a project manager would otherwise do by hand — breaking a goal into tasks, sequencing them, assigning owners and keeping the record current. Most tools on the market assist inside a structure you have already built. Cloudairy writes the structure itself: describe the project in a sentence and it returns named phases, dated tasks, owners, priorities and labels.

Can AI actually create a usable project plan?

For a recognisable kind of project, yes. A prompt like "launch a Q4 product marketing campaign for a SaaS app" returns roughly fourteen tasks across five named phases, each with a start and due date in a sensible order, an owner, a priority and a discipline label. It is a starting draft, not a finished plan — you will move dates and add the things only your team knows. The point is that you edit a plan instead of typing one.

Is there a free AI project management tool?

Cloudairy's free plan includes 30 AI credits a month, and generating a board costs about six — so you can create several plans a month without paying. It also allows unlimited members, which is unusual: Asana's free tier caps at two users and monday.com's at two seats. The free cap is on how many items you create — three editable boards, docs or projects — not on how many people work in them.

How is this different from ClickUp, Asana or monday.com?

Two practical differences. First, AI is included in the paid plan rather than sold on top — ClickUp's Brain add-on starts at $7.20 per user per month on top of the seat price, which more than doubles an Unlimited seat. Second, Cloudairy generates the plan rather than assisting inside one you built. On top of that, the same subscription covers a whiteboard, documents, projects and screen recording, where Asana and monday.com are project tools alone.

Can I edit what the AI writes?

All of it. The output is an ordinary Cloudairy project — rename phases, drag cards, change dates and owners, add story points, add your own custom properties. Nothing is locked to the generated version, and nothing needs the AI to stay switched on.

Does it do Gantt charts and timelines?

Yes — Gantt, Timeline and Calendar are three of the eight views, and every task already carries the start and due dates they need, so no extra setup is involved. They are on the Starter plan; the free plan covers the Kanban board and List.

Does it track time?

Yes. Every task has a start/stop timer, a work-hours field and a Log Hours tab, and duration is calculated from the dates automatically. A billing type field sits alongside them, so agencies and consultancies can separate billable work without a second tool.

Is my data secure?

Cloudairy is SOC 2 Type II certified, ISO 27001 certified and GDPR compliant, on every plan including free. SSO, SAML, SCIM and audit logs are available on Enterprise.
